1. Introduction

BeatMetrix ("we," "our," or "us"), operated by Argus Management Limited, is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and otherwise process information about you in connection with our website, applications, and services (collectively, the "Service").

Please read this Privacy Policy carefully. By accessing and using BeatMetrix, you acknowledge that you have read and understand this Privacy Policy.

2. Data Controller and Contact Information

Argus Management Limited is the data controller for personal information relating to your own BeatMetrix account: your profile, authentication, billing, and usage analytics data.

For information we process on behalf of a customer organization through its connected integrations — including organization members' calendar event data, directory profiles, and survey responses — the organization is the data controller and Argus Management Limited acts as a data processor, handling that information only on the organization's instructions. If you are a member of an organization that uses BeatMetrix, that organization controls this data, and privacy requests about it may need to be directed to your organization (see Section 9.3).

3. Information We Collect

We collect information about you in various ways:

3.1 Information You Provide Directly

  • Account Information: When you create an account, we collect your email address, full name, and profile information.
  • Authentication Data: We collect information through your chosen authentication method (email/password, magic links, or Google OAuth).
  • Organization and Team Data: Information about organizations you create or join, including member roles and permissions.

3.2 Google Workspace Data (Important)

How access works:BeatMetrix connects to Google Workspace using a Google service account with domain-wide delegation. An owner or administrator of your organization grants this access in the Google Workspace Admin Console and connects the integration in BeatMetrix. From that point, BeatMetrix reads each member's own calendar and the workspace directory on the organization's behalf — individual members do not grant access individually.

Calendar data (scope: calendar.events.owned.readonly). We collect and store:

  • Event title, organizer email address, and timing (start time, end time, and duration)
  • Attendee email addresses
  • Each member's RSVP response status (accepted, declined, or tentative)
  • Event identifiers used to recognize the same meeting across attendees' calendars

Directory data (scope: admin.directory.user.readonly). We collect workspace members' names, email addresses, job titles, profile photos, and Google user IDs to build your organization's team directory and to match survey recipients across Google and Slack.

Purpose:We use this information to (a) send post-meeting feedback surveys to meeting attendees via Slack after meetings end, (b) provide your organization with meeting analytics — per-meeting and recurring-series trends, response rates, and ratings, in which meeting titles, organizers, and attendee information are visible on your organization's dashboards — and (c) maintain your organization's team directory.

AI/ML: Google user data is not used to develop, improve, or train generalized artificial intelligence or machine learning models, and is not transferred to third-party AI tools.

Your Control: Connecting Google Workspace is required for BeatMetrix's meeting-survey and analytics features; other features (such as the Slack assistant and document knowledge base) work without it. Organization owners and admins can disconnect the integration at any time in BeatMetrix settings, or revoke the domain-wide delegation grant in the Google Workspace Admin Console; either step stops all further access to Google data. If you are an organization member and want collection from your calendar to stop, contact your organization's administrator.

BeatMetrix's use and transfer to any other app of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.

3.3 Slack Integration Data

  • Workspace Information: When your organization authorizes Slack, we collect workspace ID, team name, and bot credentials.
  • User Data: User IDs and email addresses needed to send survey messages and match Slack users with calendar attendees.
  • Survey Responses: When you respond to a survey, we store your rating, any free-text feedback you provide, and your email address and Slack user ID. Free-text feedback is analyzed using AI to determine sentiment and extract themes for your organization's analytics.
  • Messages: Conversations with the BeatMetrix Slack assistant are processed by AI to generate responses.

3.4 Document Uploads

  • File Content: Documents you upload for processing and analysis.
  • File Metadata: File name, size, type, and upload date.
  • Embeddings: AI-generated embeddings used for document search and retrieval.

3.5 Usage Analytics

  • PostHog Analytics: We use PostHog to track user interactions, feature usage, and service performance to improve BeatMetrix. Analytics events may include contact details (such as the email address an invitation or sign-in link was sent to) so we can diagnose delivery failures.
  • Analytics Consent:Two controls apply. Rejecting cookies in the consent banner stops analytics collection in your browser. Separately, server-side analytics tied to your account (for example, records of surveys sent or integrations connected) can be disabled at any time in Settings → Privacy.
  • Log Data: Server logs including IP addresses, browser type, access times, and pages visited.
  • Device Information: Device type, operating system, and browser information.

3.6 Payment Information

  • Stripe Data: We collect payment information through Stripe, including billing address and customer ID. Actual credit card data is handled directly by Stripe and is not stored on our servers.

3.7 Cookies and Tracking Technologies

  • Session Cookies: To maintain your session and remember your preferences.
  • Authentication Cookies: To manage your login state and account access.
  • Analytics Cookies: To understand how you use our Service and improve it.

4. How We Use Your Information

We use the information we collect for the following purposes:

  • Service Delivery: To provide, maintain, and improve BeatMetrix and deliver its features.
  • Meeting Surveys: To send feedback surveys to meeting attendees via Slack after meetings end.
  • Meeting Analytics: To provide your organization with dashboards showing survey results, sentiment, and trends for meetings and recurring meeting series.
  • AI Analysis: To process survey feedback, assistant conversations, and uploaded documents using AI to provide insights and automated responses.
  • Account Management: To manage your account, authentication, and access permissions.
  • Communication: To send you account notifications, updates, and support communications.
  • Analytics: To understand how you use BeatMetrix and to measure the effectiveness of our features.
  • Security: To detect, prevent, and address fraud, abuse, and security incidents.
  • Billing: To process payments and manage your subscription.
  • Legal Compliance: To comply with applicable laws, regulations, and legal processes.

5. Data Sharing and Third Parties

We may share your information with the following service providers:

  • Supabase: Authentication provider and database hosting; handles user credentials and data storage.
  • Vercel: Hosting and infrastructure provider; processes all Service traffic.
  • Google: OAuth provider and Google Workspace API provider; processes authentication, calendar, and directory access.
  • Slack: Messaging platform; receives survey messages and workspace credentials.
  • OpenRouter: AI/LLM provider; processes survey feedback, assistant conversations, and documents to generate responses and insights. We instruct our AI providers not to retain or train on submitted data.
  • PostHog: Analytics provider; receives usage data, which may include contact details as described in Section 3.5.
  • Stripe: Payment processor; handles billing and subscription management.
  • Resend: Email service provider; sends transactional emails like invitations and notifications.

All service providers are contractually obligated to process data according to this Privacy Policy and applicable data protection laws. We do not sell or rent your personal information to third parties.

6. Legal Basis for Processing (GDPR)

Under UK and EU GDPR, we process your personal information on the following legal bases:

  • Organization Authorization: Calendar, directory, and Slack data is processed on behalf of your organization, which authorizes the integrations and is responsible for its own lawful basis (typically its legitimate interests in collecting meeting feedback).
  • Consent: For cookies and browser analytics tracking, where required.
  • Contract Performance: To provide the Service and manage your account and subscription.
  • Legitimate Interests: For security, fraud prevention, and service improvements.
  • Legal Obligation: To comply with applicable laws and regulations.

7. Data Security

We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. These measures include:

  • Encryption of data in transit (HTTPS/TLS)
  • Encryption of sensitive data at rest
  • Secure authentication mechanisms
  • Regular security audits and updates
  • Access controls and authentication for internal systems

However, no method of transmission over the Internet or electronic storage is completely secure. We cannot guarantee absolute security, and you use BeatMetrix at your own risk.

8. Data Retention

We retain your personal information for as long as necessary to provide the Service and comply with legal obligations:

  • Organization Data: Meeting data, calendar and directory information, survey responses, and uploaded documents are retained while the organization's account exists, and are deleted immediately and permanently when the organization is deleted. Organization owners can delete their organization at any time in settings.
  • Integration Disconnection:Disconnecting Google Workspace or Slack stops all further collection from that source, but does not delete previously collected meeting analytics — organizations keep their history. Organizations can request deletion of previously collected data at any time by contacting us, or delete it by deleting the organization.
  • Account Data: Retained while your account is active; deleted immediately when you delete your account.
  • Usage Analytics: Retained according to our analytics provider's retention policy.
  • Payment Records: Retained for the duration of your subscription plus 7 years for tax and accounting purposes.
  • Support Communications: Retained for up to 3 years after the support issue is resolved.

9. Your Rights and Choices

Depending on your location, you may have certain rights regarding your personal information:

9.1 Under UK and EU GDPR

  • Right of Access: Request a copy of your personal information.
  • Right to Rectification: Correct inaccurate or incomplete data.
  • Right to Erasure: Request deletion of your data ("right to be forgotten").
  • Right to Restrict Processing: Limit how we use your data.
  • Right to Data Portability: Receive your data in a portable format.
  • Right to Object: Object to processing of your data for certain purposes.
  • Right to Withdraw Consent: Withdraw consent for processing at any time.

9.2 Under CCPA (California Residents)

  • Right to Know: Request what personal information is collected, used, and shared.
  • Right to Delete: Request deletion of collected personal information.
  • Right to Correct: Request correction of inaccurate personal information.
  • Right to Opt-Out: Opt-out of the sale or sharing of personal information (we do not currently sell or share personal information).

9.3 How to Exercise Your Rights

To exercise any of these rights, please contact us at privacy@beatmetrix.com. We will respond to your request within 30 days. Where your request concerns data we process on behalf of an organization (such as calendar data or survey responses), we may refer the request to that organization, as the organization is the data controller for that information. You may also have the right to lodge a complaint with your local data protection authority.

10. International Data Transfers

BeatMetrix uses service providers located in various countries, including the United States. When we transfer your data internationally, we ensure appropriate safeguards are in place, including standard contractual clauses or your explicit consent, as required by applicable data protection laws.

11. Children's Privacy

BeatMetrix is not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13. If we become aware that we have collected data from a child under 13, we will take steps to delete such information promptly.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. We will notify you of any material changes by posting the updated Privacy Policy on our website and updating the "Last updated" date above. Your continued use of BeatMetrix following the posting of revised Privacy Policy means that you accept and agree to the changes.
